How Novus Altair Limited (trading as Novus Guard) collects, uses and protects personal data across our website, apps and related services.

Data protection is a high priority for the management of Novus Altair Limited (“we”, “us”, “our”). This Privacy Policy explains the nature, scope and purpose of personal data we collect, use and process in connection with:
- the Novus Guard marketing website at novusguard.co.uk (and related Novus Altair domains where they point to our content);
- Novus Guard Pro, Solo, officer / control and related mobile apps and web applications; and
- related sales, support and operational communications.
Processing of personal data (for example name, address, email or telephone number) is carried out in line with the UK General Data Protection Regulation (UK GDPR), the EU GDPR where it applies, and other applicable data protection law. Where processing is necessary and no other lawful basis applies, we obtain consent.
Internet-based transmissions can never be guaranteed as absolutely secure. You may also contact us by telephone if you prefer not to send personal data online.

Privacy and data-protection enquiries (including data subject requests) should be sent to the email addresses above with the subject line “Privacy request”, or by post to the UK head office. We will direct your request to the appropriate contact (including any data protection lead / officer as appointed).
Business customers: when your organisation uses Novus Guard Pro to manage officers, sites, jobs or visitors, your organisation is typically the controller of workforce and end-user data, and Novus Altair Limited acts as a processor under your instructions and contract. This policy describes our own processing; your contract and any data processing agreement govern processor activities.
3. What this policy covers
This policy applies to personal data we process when you:
- browse or interact with www.novusguard.co.uk;
- contact us (phone, email, contact form or live chat);
- request a demo, pricing information or marketing materials;
- register for or use Novus Guard Pro, Solo, bidding / job-related portals, or related apps;
- apply for a job or submit information for recruitment; or
- interact with our social channels or embedded media (for example YouTube videos on this site).
4. Data we collect
4.1 Information you provide
- Identity and contact data — name, email address, telephone number, company name, job title, country or region.
- Enquiry and message content — information you type into the contact form, email, chat or other forms.
- Account and profile data — credentials, organisation / tenant details, roles and preferences when you register for Pro, Solo or related services (typically via
app.novusguard.co.ukor app stores). - Operational data (platform users) — depending on modules enabled: location and SOS-related signals, job and patrol activity, check-calls, documents you upload, visitor records, fleet or HR module data, and similar operational content entered by your organisation or users.
- Recruitment data — CV, work history and other details you submit for vacancies or bidding-related opportunities.
4.2 Information collected automatically
- Technical and usage data — IP address, browser type, device type, approximate location derived from IP, pages viewed, referring URL, and timestamps (server logs and similar).
- Cookies and similar technologies — see Cookies Policy and section 11 below. This marketing site may load third-party scripts (for example live chat) that set their own cookies.
- App diagnostics — crash reports, performance metrics and device identifiers needed to keep mobile and web apps secure and reliable, where enabled.
4.3 Information from third parties
- Public sources or business directories where lawful for B2B outreach.
- Payment or identity providers if used at signup or billing (only as needed to complete the transaction).
- App stores and hosting / mapping / messaging providers that support the product stack.
We do not intentionally collect special category data on the marketing website. Platform modules may process health- or safety-related information (for example SOS context) only where necessary for the service and under appropriate lawful bases and customer instructions.
5. How we use personal data
- To operate, secure and improve the website, apps and platform.

7. Sharing and processors
We do not sell personal data. We may share data with:
- Service providers (processors) — hosting, email, SMS, mapping, analytics, customer support tooling, payment processors and similar suppliers under contract and confidentiality terms. On this website that currently includes, among others, Tawk.to for optional live chat and YouTube / Google when you open an embedded video.
- Your organisation — if you use Novus Guard under an employer or client tenant, administrators of that tenant may access data according to their configuration and policies.
- Professional advisers and authorities — lawyers, auditors, insurers, or regulators / law enforcement where required or permitted by law.
- Business transfers — in connection with a merger, acquisition or reorganisation, subject to appropriate safeguards.
8. International transfers
Novus Altair operates from the United Kingdom and has offices and partners in other regions (including the EU, UAE and Pakistan). Personal data may be processed outside the UK / EEA where our providers or group operations require it. Where we transfer personal data internationally, we use appropriate safeguards such as the UK International Data Transfer Agreement / Addendum, EU Standard Contractual Clauses, or other lawful mechanisms, and assess risks as required.
9. Retention
We keep personal data only as long as needed for the purposes above, including:
- Enquiry / contact data — typically up to 24 months after last meaningful contact, unless a longer relationship or legal hold applies.
- Customer / account data — for the life of the contract and a reasonable period afterwards for billing, disputes and legal claims (often up to 6–7 years for financial records under UK practice).
- Platform operational logs — according to product configuration, customer contract and security needs.
- Recruitment data — usually up to 12 months after the process ends unless you agree to a longer talent-pool period or law requires otherwise.
- Server and security logs — shorter rolling periods unless needed for investigation.
When data is no longer required, we delete or anonymise it. Routine erasure and blocking procedures support this.
10. Security
As controller (and as processor for customer data), we implement technical and organisational measures appropriate to the risk — including access controls, encryption in transit where standard, environment separation, staff confidentiality obligations and monitoring. No method of transmission or storage is 100% secure; please use strong passwords and report suspected incidents promptly to info@novusguard.co.uk.
11. Cookies and similar technologies

12. Your rights

Our website and business services are directed at organisations and adults. We do not knowingly collect personal data from children under 18 via this marketing site. If you believe a child has provided personal data, contact us and we will take appropriate steps to delete it.

We may update this Privacy Policy from time to time. The “Last updated” date at the top of this page will change when we do. Material changes may also be notified by email or a notice on the website where appropriate. Continued use of the site or services after an update constitutes awareness of the revised policy; where consent is required, we will seek it as needed.
